A reminder rule defines which unfinished learning employees should be reminded about, the condition for a reminder and the message text. Administrators can create a rule in the general notification settings or in the custom rules for a particular course, path or task.

How do you create and save a rule?

  1. In the menu, open Notifications and select Create rule. For a rule specific to particular learning, open the custom rules in the relevant course, path or task settings.

  2. Enter a descriptive name and choose the learning level where it can be changed: course, path or path task.

  3. Choose the reminder condition and enter the number of calendar days. The value depends on when you want the reminder to become relevant.

  4. Choose the recipients. For a general rule, also select the learning it will apply to.

  5. If you need repeated reminders, configure repetition and, if needed, the maximum number of reminders.

  6. Write the message, check it using Preview and select Save.

  7. After saving, use Check rule to view the check results.

For custom rules, the course, path or task is already determined by where you opened the editor. The separate learning selector is therefore hidden.

New rules are active when created. To stop it applying, turn it off using the activation switch. Editing its text or conditions does not itself disable it.

Which reminder condition should you choose?

Condition How it works
Not started The condition is met when the specified number of days has passed since learning activation and the employee has not started it.
No learning activity The condition is met after the specified period without learning activity. New confirmed activity restarts that period.
Before deadline The reminder applies to unfinished learning within the chosen number of days before the personal completion deadline. A deadline must be set for this condition.
Overdue The condition is met when learning is still unfinished and the specified number of days has passed since the deadline.

Enter a whole number of calendar days from 1 to 3,650. Before deadline also accepts 0 for a reminder on the deadline day. Fractional values are not allowed.

These reminder conditions apply only to unfinished learning assignments.

How do you write the message and use placeholders?

Write the message as plain text without HTML markup. Use the editor’s placeholder list to add learning details, company information or a link. For example:

  • {learning_name} inserts the learning title.

  • {company_name} inserts the company name.

  • {link} inserts a link to the learning.

  • {due_date} inserts the completion deadline date where this placeholder is available for the selected condition.

Available placeholders depend on the learning level and selected condition. Use the names in the editor’s list: invented names are not supported.

Preview shows an example of the completed message without sending it to employees. Check how the text reads once the example values have been inserted.

You can enter up to 4,000 characters in the editor.

FAQ

Why is there no learning selector?

In a custom rule, the learning is already determined by the course, path or task from which you opened the editor. You do not need to select it again.

Can you enter part of a day?

No. Use whole calendar days from 1 to 3,650. Before deadline also allows 0, meaning the deadline day.
