How do reminder repeats and limits work?

Repetition determines how many calendar days will pass before the system sends the next reminder. The maximum number of reminders limits rule occurrences for the same employee and learning situation. The first reminder counts towards that limit too.

How do you enable repeated reminders?

  1. Open the editor for the relevant rule.

  2. Enable Repeat reminders and enter an interval in Repeat every N days. Use whole calendar days from 1 to 3,650.

  3. If needed, fill in Maximum reminders (optional). Enter a whole number from 1 to 10,000.

  4. Save the rule.

Without repetition, the rule applies once for the corresponding learning situation. If no maximum is set, further reminders still depend on the rule’s condition, learning access, schedule and the employee’s subscription.

What counts towards the reminder limit?

The maximum applies separately to the individual employee and the learning situation that causes the rule to apply. It is not a shared quota for all recipients.

An occurrence is one instance of a reminder counted by the system. If a message is sent through both email and Telegram for the same occurrence, the count increases by one occurrence. The journal will still have separate records for each channel.

This count does not show how many emails reached an inbox or were read. Check the Sending journal for the sending outcome on each channel.

What happens when you change the interval or maximum?

Editing the same rule does not erase its earlier occurrence history. The new settings take account of the limit already used for the relevant employee and learning situation.

For example, if two occurrences have already been counted:

Change to the maximum Result
Increase it from 2 to 4 Two more occurrences are allowed. There can be four in total.
Set the maximum to 2 No further occurrences are allowed because the limit has already been used. The earlier history is preserved.
Remove the maximum Previous records remain in history. Further repeats depend on the rule’s other conditions.

Changing the interval does not start the count from zero either. The system uses the new interval together with the preserved occurrence history. Saving the changes does not mean that a message will be sent immediately.

How do you check when another reminder is possible?

Use Check rule. The results can show the next possible repeat or explain that the maximum has been used. Check the Sending journal for actual sending outcomes on email and Telegram.

An expected repeat may not happen if the employee completes the learning, new learning activity is recorded or other conditions affecting eligibility change.

If a reminder is cancelled before processing because conditions have changed, it does not add a used occurrence. Take this into account when comparing the limit with journal records.

FAQ

Does the maximum include the first reminder?

Yes. For example, a maximum of 3 allows no more than three occurrences for the relevant employee and learning situation, including the first.

Does changing the interval reset the count?

No. The earlier occurrence history is preserved and used together with the new settings.
